Diamond Auto Spa
Appointment, Deposit, Cancellation & Service Agreement
By scheduling an appointment with Diamond Auto Spa, whether online, by phone, by text message, by email, or in person, the customer acknowledges that they have read, understood, and agreed to the following terms and conditions.
Non-Refundable Deposit
A non-refundable deposit equal to 15% of the estimated service total is required to reserve all appointments.
Appointments are not confirmed until the required deposit has been received.
The deposit reserves dedicated shop time, technician labor, scheduling, and materials specifically for your appointment. Because these resources are committed exclusively to your reservation, the deposit is earned immediately upon booking and is non-refundable under all circumstances.
The deposit will be applied toward your final invoice if the scheduled service is completed.
The deposit will not be refunded for any reason, including but not limited to:

Customer cancellation

Customer rescheduling within the cancellation window

Failure to appear (No-Show)

Late arrival requiring rescheduling

Change of mind
-
Selling the vehicle
-
Purchasing another vehicle
-
Mechanical issues
-
Weather concerns
-
Failure to disclose vehicle condition
-
Any other reason initiated by the customer
Cancellation & Rescheduling Policy
Appointments canceled or rescheduled with less than 48 hours’ notice will result in forfeiture of the non-refundable deposit.
Rescheduling requests made at least 48 hours before the scheduled appointment may transfer the existing deposit to one future appointment at management’s discretion.
Repeated cancellations or rescheduling may require a new non-refundable deposit.
No-Show Authorization
A customer who fails to arrive for a scheduled appointment without prior notice is considered a No-Show.
Because technician labor and shop time have been exclusively reserved, the customer expressly authorizes Diamond Auto Spa to charge up to 50% of the originally quoted service price, less any deposit already paid, to the payment method on file as a cancellation/no-show fee.
The customer acknowledges this fee represents compensation for reserved labor, scheduling losses, and business interruption and is not a penalty.
Late Arrival
Customers arriving more than 15 minutes late without prior communication may have their appointment canceled or rescheduled at management’s discretion.
If the appointment cannot be completed due to the late arrival:

The deposit remains non-refundable.

Additional cancellation fees may apply if technician time has already been reserved.
Vehicle Condition Disclosure
Customers agree to accurately disclose any condition that may require additional labor or specialized cleaning before their appointment.
This includes but is not limited to:

Vomit
-
Urine
-
Feces
-
Blood
-
Bodily fluids
-
Mold
-
Excessive pet hair
-
Heavy staining
-
Insects or infestations
-
Hazardous materials
Failure to disclose these conditions authorizes Diamond Auto Spa to assess an additional cleaning and sanitation charge beginning at $250, depending on severity.
Diamond Auto Spa reserves the right to refuse service on any vehicle deemed unsafe or excessively contaminated.
Personal Belongings
Customers are responsible for removing all personal belongings prior to service, including:

Cash

Firearms
-
Prescription medication
-
Electronics
-
Jewelry
-
Important documents
-
Child seats (unless service requires removal)
If excessive personal belongings prevent technicians from performing services, a minimum $50 organization/removal fee may be added.
Diamond Auto Spa is not responsible for lost, damaged, or misplaced personal belongings left inside the vehicle.
Additional Charges
Additional labor charges may be added if the actual condition of the vehicle differs from what was originally represented.
Additional services requiring customer approval may include:

Excessive pet hair
-
Heavy staining
-
Tar removal
-
Sap removal
-
Paint overspray
-
Severe oxidation
-
Hazardous cleanup
-
Interior disassembly
-
Excessively dirty vehicles
Payment Authorization
By providing payment information and scheduling services, the customer expressly authorizes Diamond Auto Spa to charge the payment method on file for:

Non-refundable appointment deposits
-
Approved services
-
Additional authorized services
-
Cancellation fees
-
No-show fees
-
Hazardous cleaning fees
-
Convenience fees
-
Applicable taxes
Authorization may be provided verbally, electronically, online, through signed estimates, invoices, email, or text message.
Chargeback & Payment Dispute Agreement
The customer acknowledges that Diamond Auto Spa provides custom, labor-based automotive services that reserve technician time and shop availability specifically for the customer’s appointment.
By booking an appointment and submitting a deposit, the customer expressly agrees that:

The deposit is non-refundable and is earned immediately upon booking.

Cancellation and no-show fees are authorized under this agreement.

Any completed or partially completed services authorized by the customer are payable in full.

The customer will not initiate a payment dispute or chargeback for valid deposits, completed services, cancellation fees, or other authorized charges.
If a chargeback or payment dispute is initiated for a valid transaction, Diamond Auto Spa reserves the right to submit all available evidence, including but not limited to:

Signed agreements
-
Online booking confirmations
-
Text messages
-
Emails
-
Phone records
-
Estimates
-
Invoices
-
Photos
-
Video documentation
-
GPS records
-
Appointment history
-
Service documentation
-
Technician records
-
Customer communications
The customer further agrees to reimburse Diamond Auto Spa for any costs incurred in collecting unpaid balances, including:

Collection agency fees
-
Court costs
-
Reasonable attorney’s fees where permitted by law
-
Merchant processing fees
-
Administrative expenses
Credit & Debit Card Convenience Fee
A 4.5% convenience fee will be added to all credit and debit card transactions.
This fee covers third-party payment processing costs and is non-refundable once payment has been processed.
Service Satisfaction
Customers must notify Diamond Auto Spa of any concerns within 24 hours of vehicle pickup.
Diamond Auto Spa reserves the right to inspect the vehicle and attempt to remedy any legitimate workmanship concerns before any refund, credit, or adjustment is considered.
No refunds will be issued for services that have been completed without first providing Diamond Auto Spa a reasonable opportunity to inspect and correct the concern.
Customer Agreement
By booking an appointment, paying a deposit, signing an estimate or invoice, approving services verbally, electronically, online, by email, or by text message, the customer acknowledges and agrees that:

They have read and understand this Appointment & Service Agreement.

The 15% appointment deposit is non-refundable.

They authorize Diamond Auto Spa to charge the payment method provided for all authorized charges described herein.

They agree to the cancellation, rescheduling, and no-show policies.

They understand that all deposits are earned immediately upon booking due to reserved labor and scheduling.

They agree to resolve any billing concerns directly with Diamond Auto Spa before initiating any payment dispute or chargeback.
